Part A2 specifications - row 7 - must provide digital voice files via dail in telephone.  I havethe following questions.  1.  Who owns the dial in number range - the existing transcription company or Peninsula health?.  2.  Who owns the voice servers - the existing transcription company or Peninsular Health?..3.  If the existing transcription company is an Emdat / Nuance provider and they use intouch voice servers to offer the dial in service who owns and pays for the VOIP link or E1 / T1 links to the USA intouch servers?  If the answer to these questions is the existing transcription company does Peninsular health expect that the winning tenderer will provide all the hardware and telephone links at their own cost or will this be paid for by Peninsular?.  What is the current volume (in minutes or number of audio files) dictated using dial in telephone services.  Please can you let me know, thanks.

Hi - are you aware that if the transcription work is currently being outsourced and if the transcription company doing this work currrently, is an Emdat / Nuance provider - if they lose the tender the existing company is under no obligation to transfer the client set up, templates created, user account set up, prior letters etc......to the gaining / winning transcription company.  This means that new templates will need to be created, new user (dictating user and admin user) accounts set up and no prior letters available to the winning company, unless the losing company agrees to transfer the client code / codes across.  So instread of it being a seamless transition from a user prespective it will be a completely new set up.  I thought that this was important infomation to pass on.

Part A2 Specifications, row 60 “Provide a server (or servers) hosted within Australia” is NOT a mandatory requirement. Vendors are able to respond with the appropriate option: full, partial or unable to meet this requirement.

Row 60 says - Provide a server (or servers) hosted within Australia - are you aware that any transcription company operating in Australia that uses the Emdat / Nuance software platform DOES NOT have any servers in Australia as ALL the Emdat / Nuance servers are located in the USA.  This means that none of the Emdat / Nuance providers will be unable to submit a response to this tender, so all the major transcription companies will not have the opportunity.  Is the tender committee / procurement team aware of this?.  In addition if the existing transcription company currently offering services to these hospitals is using Emdat / Nuance the servers are all in the USA.

~~Peninsula Health acknowledge that new provider may be required to set up new users, letter templates. Please refer to Tender document Part D – Pricing, row 23 to row 26. Vendors are able to submit pricing that is relevant to the new set up requirements.
