Description

The Department of Education is a large organisation that depends on effective records management to support its complex business activities. DE&T  is initiating a project to upgrade its records
management system from an exclusively paper-based approach to full electronic record keeping across the organisation.  In so doing, DE&T recognises the importance of it’s statutory obligations and
accountabilities to provide evidence of organisational activities; and the requirement to comply with the long-term retention of electronic records in accordance with the Victorian Electronic Records
Strategy (VERS) and Public Record Office of Victoria (PROV) standard PROS 99/007 – Management of Electronic Records.

DE&T comprises Central Office, nine Regional Offices (four metropolitan, five rural), seven Statutory Authorities and all State primary and secondary schools. The approach to record keeping is
decentralised and the software currently used is Recfind for Windows 3.2.0B.

DE&T is seeking to replace its existing records management software with an Electronic Document/Records Management System (EDMS) that provides full electronic document and records management
functionality. The implementation of an EDMS is part of a larger project to improve record keeping processes and practices across the organisation, including the application of VERS compliant
electronic archiving procedures.
